Track Employee Progress Using the Knowledge Program Manager

Search and Filter Assigned Programs:

1. Log in to the iTacit Admin site.

2. Navigate to Menu > Training > Knowledge Program Manager.

3. Enter your search criteria to select knowledge programs assigned to your employees, or by selecting knowledge program name, employees based on their job classification or business unit,  knowledge program status, and/or date.

4. Click Search to view results.

Search KPs

Review and Edit Assigned Programs:

1. General Area and Training Requirements Tab

The General area provides a high-level summary of an employee’s Knowledge Program assignment. It includes key metadata about the employee and the program, and allows administrators to make updates and track progress.

What You’ll See:

  • Employee Name: The individual assigned to the Knowledge Program

  • Role: The employee’s job title and department

  • Employee Since: The date the employee joined the organization

  • Program Name: The title of the assigned Knowledge Program

  • Start Date: The date the program was assigned

  • Expected Completion Date: The target date for program completion

  • Current Status: The status of the assignment (e.g., Enrolled, Completed, Withdrawn)

  • Status Timestamp: The date and time the current status was set

  • Notes: A field for internal comments or context

  • Original Start Date: The initial assignment date, useful for tracking changes over time

What You Can Do:

  • Update Status: Change the program status.

  • Edit Dates: Adjust the start or expected completion dates

  • Add Notes: Document internal decisions, context, or follow-up actions

  • Review Training Requirements: View all courses included in the program, along with their individual statuses and completion order

2. Status History Tab

The Status History tab provides a chronological record of all status updates made to a Knowledge Program assignment. It helps administrators maintain transparency, audit changes, and understand the lifecycle of each program.

What You Can Do:

  • Review Status History: Understand how and when the program status changed

  • Audit Assignments: Confirm who made updates and when

  • Use Notes for Context: Track decisions, exceptions, or employee-specific circumstances

  • Support Compliance: Maintain a clear audit trail for regulated training programs

3. Recurrence Schedule Tab

The Recurrence Schedule tab allows administrators to review re-enrollment settings for a Knowledge Program. This is especially useful for compliance-based training or annual refreshers that must be completed on a recurring basis.

Exporting Knowledge Program Data:

1. Log in to the iTacit Admin site.

2. Navigate to Menu > Training > Knowledge Program Manager.

3. Enter your search criteria.

4. Select Search

5. Place a checkmark by certain employees or select the top check mark to select everyone in the list.

6. Select Action > Export.

7. In the Select Values to Export screen check the boxes beside which pieces of information you would like to include in the export then select Download Exported Values.

8. An Export confirmation window will display. Select Yes. Your browser will prompt you to either Open or Save the exported file. The export file type is .CSV and can be opened in Excel.
