Transition Candidate to the Employee

Once a candidate has completed the recruitment process and has been selected for hire, you can transition them into an employee profile within the iTacit platform. This process allows you to carry over relevant candidate data, such as contact information, application history, and flags, into the employee record, streamlining onboarding and reducing manual data entry.

Important: This transition process is only applicable to external applicants. Internal applicants already have an account in iTacit. For internal hires, the only required step is to update their role to reflect their new position. You do not need to create a new employee profile for internal candidates.

Transition Candidate to Employee

1. Log in to the iTacit Admin site.

2. Navigate to Menu > Recruiting & Onboarding > Candidate Databank.

3. Use the search filters to locate the candidate you wish to become an employee.

4. Click Search to display results.

5. Click on the candidate’s name to open their profile.

6. Review their application history, flags, and status to confirm readiness for transition.

7. In the Candidate Profile, click Create Employee.

8. A confirmation window will appear. Select Yes to proceed.

9. A Successful Candidate window will appear. You will be prompted to:

  • Close the career posting (optional)

  • Mark other candidates as unsuccessful (optional)

10. Select Yes to confirm these actions.

If the Job Classification and Business Unit were not configured in the original career posting, iTacit will not automatically assign a role. In this case, you must manually create a new role in the Roles section and assign it to the employee.

1. Navigate to Menu > Employees > Employee Manager.

2. Search for the newly created employee profile.

3. Open the profile and go to the Roles section.

4. Click New to assign a role to the employee.

Internal Applicants: Role Update Only

If the candidate is an internal applicant, they already have an active iTacit account. In this case:

  • Navigate to their existing employee profile.

  • Update their Role to reflect the new position.

  • This ensures they gain access to the correct permissions, content, and workflows.
