What's the difference between a Permission Group and a Permission Set?

There are two features you can use to simplify Permissions configurations in iTacit: Permission Groups, and Permission Sets. Both can be utilized on the items you create within iTacit so that you can establish editing or analytic/reporting capabilities, and targeting. 

Any item you create in iTacit must have its unique Permission Set defined. Below is an example of the Permissions that need to be set on a Form:

In this example, there are 3 permission areas that must be defined to establish Who can edit the form, Who the form is targeted to, and Who can view and analyze the results of submissions.

Permission Groups

Permission Group is a collection of individual people, roles, or business units, that can be used throughout iTacit for targeting purposes. They can be found, and used, in any area where the Group dropdown menu is available:

The above example is from the Permissions area on a Post, accessible via the Change… link. Permission groups are also frequently used within the Messages module and can be found in a draft message under the Choose Groups… menu for users who have access to it.

Note: Access to the Choose Groups... link is granted via a user’s Job Classification.

Permission Groups are created in the Admin Tools. Navigate to Configuration > Security – Permission Groups to build one.

As noted earlier, any Permission Group created in this area can be utilized when modifying permissions on an item via the Change… link. They can also be used as part of a Preconfigured Permission Set.

Preconfigured Permission Sets

Throughout each module in the Admin Tools, there are many areas where you can configure a standard set of permissions, or a Preconfigured Permission Set, to be applied to a specific item. For example, in the Notice Board group of menus, you can create a set of permissions to be used against Posts, as shown below. There is also an option to create these for Polls.

Note: Preconfigured Permission Sets are module-specific.

After selecting the above menu, you can define each of the 3 permission areas that exist on a Post:

Next, scroll down a little bit to define Who can edit this permission? and Who can use this permission?

The Who can use this permission? group is particularly important, as it will define who can make use of this Preconfigured Permission Set on the item to which it relates.

Now that your Preconfigured Permission Set has been created, any user defined in the Who can use this permission? area can choose this Preconfigured Permission Set from the dropdown menu of the piece of content you are creating, rather than modifying each permission area individually via the Change… link.

It is particularly useful to invest time doing this when you know that you will often target Notice Board Posts, or Forms, or Training Items, to a specific group of users on a consistent basis.
